For a long time now I have been using Adobe Acrobat as an access tool for students that need to access their worksheets on the computer. Using a scanner teachers can scan worksheets into the computer and using either the Forms Tool or Typewriter Tool students can type their answers right on the screen. One of the really handy tools in Adobe Acrobat X is the Typewriter tool but with the advent of the new version Adobe has moved the tool and so in this video you will see how you can find it and add it to the Toolbar for quick access.

Adobe Acrobat X & Adobe SendNow Perfect Together
One of the really nice features of Adobe Acrobat X is the integration of Adobe SendNow service. Adobe SendNow is a subscription based service that can right within Adobe Acrobat X send your PDF files as a link for your recipients to pick up and download. Adobe SendNow subscription services starts at $9.99 a month and there is a free trial period for you to try it out. If you tend to create large PDF files this is the perfect service for you. Now you can be rest assured that your recipients will receive your documents without the worry of maxing out their email inbox.
Just today I received a call from a school that I will be providing some services to, and they needed my W-9 and New Jersey Business Registration Form to set up my account in the business office. Having scanned and stored these documents in a PDF file I was now ready to use the Adobe SendNow feature. Right from within Adobe Acrobat X, I clicked on the Share tab- entered the email address of the recipient and within seconds my PDF file was sent. Besides the convenience of emailing the documents from within Adobe Acrobat X- the service keeps a history and emailed me that the file was uploaded successfully as well as that it was successfully downloaded. New and Improved Adobe Acrobat X
Adobe Acrobat remains one of the best kept secrets in the software industry. While many users, use the ubiquitous Adobe Acrobat Reader to open, print and display files on the web- many are unaware of the engine that makes this all happen. I have been fortunate enough to be provided with a Reviewer Copy of Adobe Acrobat X Pro which was recently released into the marketplace. As a long time user of Adobe Acrobat I was looking forward to working with the latest version of Acrobat to see what new and innovative features were build into this version. Adobe Acrobat X is now available for both Windows and Macintosh computers and builds on the long tradition of Acrobat as easy to use tool to create and publish PDF files.
The most significant change that you will see when you start up Adobe Acrobat X is in the interface. If you have used any of Adobe's newer applications you will feel right at home. Adobe has really done their homework and analyzed how users are most likely to use Acrobat and reconfigured the menus. You will notice on the right had side of the screen three different tabs, Tools, Comments, and Share. Clicking on any of these items will reveal a Pane with the associated tools and features. Being a long time user of Acrobat it was always a challenge to find where I might find the tool that I was looking for. Having the new interface now makes it a cinch to know exactly where to find something. The new interface is very intuitive and makes it easy for you to be as efficient as possible when you are looking for the right tool. The simplicity of the interface is going to be a hallmark of this version and one that I know I will enjoy using.
Creating PDF files is a lot easier to create with the new version of Adobe Acrobat X. Simply select the Create button from the menu and you have your choice of how you would like to create your PDF. One of the areas that has been vastly improved is creating a PDF from Scanner. I found that Adobe Acrobat X was much faster at creating the PDF and the finished PDF file size was much smaller than in the past. There were significant improvements in the Optical Character Recognition Engine which would account for better recognition of scanned material. Having a fully search-able PDF document with a small footprint really foots the bill for me.
One of my favorite features which was introduced in version 9 of Acrobat is the concept of a PDF Portfolio. This is an extremely powerful tool and one that I feel has the potential to take this product far both in business and education sectors. As the term would implies a PDF Portfolio is a way for you to include a range of different types of files and media formats and wrap it up in a PDF envelope. With a PDF Portfolio one could include a Word, Excel, Audio, Video, PDF documents and convert it into one single PDF file that can be delivered to your client or student. When they receive the PDF Portfolio you can package it and brand it with your company's colors or logo. Your recipient then receive I highly stylized PDF portfolio with easy to use navigation that can be opened with the free Adobe Acrobat Reader (version 9 or X) and presented with the files in the order that you wold like to present them in. Perfect for a business or educational portfolio which displays a range of different content and media. Adding video and Flash content is easier than ever and allows you to bring your documents to life with video playing inside your PDF portfolios.

The Many Uses for Mind Maps

I have a number of training workshops coming up in the next couple of weeks and what better way to plan them out then with a mind map. Using a mind map gives you the ability to get your ideas down and then gives you the flexibility to move your ideas around as you survey the landscape. When I first open up the mind map I quickly to a "brain dump" on the topics I plan to cover and once that is in place, I can begin to see how all the pieces fit together. It gives me a great deal of freedom knowing that I have complete control of how to structure the day by getting a snap shot of the activities and topics planned. Once I have decided on my topics I often will turn on the numbering feature which lets me take a look at the sequence of events.
If I plan on using web sites in my training session I will attach a hyperlink to the activity. Likewise, I will often add notes to my mind map which can provide additional information to my participants on a topic that I will be covering. But the real benefit of using a mind map for the development of my training sessions is that when I am done I can quickly turn my map into a Word document which becomes an easy to use handout for the session. Both MindManager 8 & MindView 3 have excellent Microsoft Word integration for exporting your mind maps to a visually pleasing Word document. For those colleagues of mine who are more visual they get the mind map on the front page of the handout right before the Table of Contents. One of the advantages of building my training handout in a mind mapping tool is that the Table of Contents is linked to the contents. By Control clicking on an entry in the Table of Contents the user is automatically taken to the topic in the body of the handout. All of the web links are carried over as well, which makes it very easy for my participants to go to those sites during the class. In my effort to go green, I have created a number of Google Sites which then allows me to upload my handout to.
For those of you who use Adobe Acrobat you can quickly convert your Word handout to a PDF which protects your materials. You should note that all of the links in your document are maintained which gives the user a very good experience as they interact with your handout.
All in all, using mind maps to prepare and plan for training sessions has been just one more way that I have found to use mind maps in the course of my professional work. When you are done planning you can quickly turn them into highly interactive handouts that your participants will enjoy using.

Adobe eLearning Suite- A Very Special Webinar

Yesterday I had the good fortune to be able to do participate in a one-to-one webinar on the new Adobe elearning Suite with RJ Jacquez, Senior Product Evangelist for the Adobe eLearning Suite which was just recently released. I would like to thank Jody from A & R Edleman for making this possible and for keeping me abreast of all the exciting developments that are taking place at Adobe in the eLearning space. RJ was kind enough to highlight the key features in the Adobe eLearning Suite and show me how the individual software applications in the package add value to the suite. The Adobe eLearning Suite consists of the following applications that work together to enrich the users eLearning experience: Captivate 4, Adobe Flash CS4, Adobe DreamWeaver CS4, Adobe Photoshop CS4, Adobe Acrobat 9 Pro, Adobe Presenter 7, Adobe Soundbooth CS4, as well as Adobe Bridge CS4, Adobe Device Central CS4, and a SCORM Packager.
Having been an avid Captivate 3 user I was glad to see some of the new features which have been added to Captivate 4 that will allow me more control and easier ways to personalize the eLearning experience. Captivate 4 now includes the ability to store variables which will allow the developer to personalize the experience in your courses. One of the really nice features which I was able to see yesterday was the ability for automatic panning which lets you capture an area of the screen which may be outside the original preset. All of us who use Captivate will be glad to find out that we can output the video as one SWF file regardless if your video has captured full motion recording. And last but not least Captivate 4 has the ability to send your video out and allow others to comment without the other party having to own Captivate. Using an Adobe AIR application individuals can comment on the video without the need to own a copy of Captivate. What I was most impressed by during the webinar was how the various software applications were integrated into the workflow and how Captivate 4 is able to communicate effortlessly with the other applications in the suite. Back to Teaching
With the new semester just beginning I have been preoccupied with getting my graduate classes set up and running. It is always exciting to start a new semester full of new ideas and ways to deliver and instruct my classes. Last week I had a chance to use PollEveryWhere in my class and it worked like a charm. My students were impressed and enjoyed the opportunity to learn a new technology that they may be able to use in their classroom. I plan on using more digital assets for my hybrid courses using tools like Camtasia Studio 6, Adobe Captivate, Adobe Acrobat 9, and Adobe Presenter which I can utilize wtih BlackBoard.For the past couple of months I have been developing an Assistive Technology eBook with a colleague, complete with video tutorials that should be out in a couple of weeks. More to come about this eBook in a couple of days. It is an exciting project and one that shows the true potential of these various tools for educational purposes. The final product will be delivered as a downloadable PDF file taking advantage of Acrobat 9 now being able to play video's with nothing more than Acrobat Reader 9. Boy we have come a long way!

Brian's Update
It has been a busy couple of weeks along with being under the weather which has made it difficult for me to blog. I trust that I will be back on schedule next week with some posts, so look for them. It really is a juggling act getting all that needs to get done-but I'm pushing through.Just today I mailed out an issue of Inclusion Times that was past due and worked on the Fall issue. For the past 4 years I have written and published Inclusion Times, which is geared towards educators who are working with students with disabilities. Over the past two year, I have expanded the coverage to include new and innovative technologies that are important for educators to know about. Because it is a traditional newsletter that goes out to individual educators and libraries I have printed, collated, and mailed out this newsletters via the post office. This process is more time consuming than you can imagine and because it is a niche newsletter I decided this year that I would produce Inclusion Times in an electronic version (PDF file) that my subscribers could download. This will not only save me time, energy but a will allow me to get the newsletter out that much quicker. Go Green with Forms with Adobe Acrobat 9
In my previous post I wrote about the new Portfolio feature in Adobe Acrobat that is bound to change the way you think about sending PDF files. In this blog installment I want to talk to you about how both business and school organizations can cut down on their use of paper and reduce their carbon footprint by using the Forms feature in Adobe Acrobat 9. If you work in any organization you know that there is a form for just about everything and anything that takes place in your office. Forms for travel Expenses, Sick Days, Vacation Requisitions, Tuition Reimbursement and the list goes on and on. I'm sure you know the drill- get the paper form fill it out and send it via inter-office mail. Or in some instances the form may be posted on your organization's website but you still need to print it out and fill it in and send it to the appropriate office. That seems like a lot of work, and if you multiply that by how many employees are in your organization that sure is a lot time and paper that is being used in the process.
Using the Forms feature in Adobe Acrobat 9 will not only make your organizations form flow more efficient-but can significantly reduce the amount of paper and time that it takes to complete and route forms. If you haven't looked at the Forms feature in Adobe Acrobat 9, I suggest that you do. You will find it very easy to create forms from your existing paper based forms, electronic forms that you may have in Word, or from a Acrobat PDF template. If your existing form is paper based you can scan it into Adobe Acrobat 9 and have Acrobat convert it to a fill in blank form for completing with Acrobat Reader. The process is very quick and within minutes you will have an electronic form ready to
be filled in. If you are not familiar with the process you can use the Forms Wizard to walk you through the process for creating your form. Within minutes you will have your form ready to go. Once your form is complete the next decision you need to make is how are you planning to distribute the form? You have several options-you can distribute it on Acrobat.com, as an email, and to an internal server. Using the free Acrobat.com website makes it
a cinch to distribute forms and all of the heavy lifting for distributing the forms is done within Adobe Acrobat 9. You can get a free Acrobat.com account and use it to distribute your forms-however, bear in mind that if you are dealing with information of a confidential nature you should consider hosting the form on your internal server. Once the form is distributed you can email it to select individuals or have it available on your website for completing on line with Acrobat Reader 9. The real beauty of using Adobe Acrobat 9 Extended is the ability to use the Track Forms feature to view the Responses. When you initiate this feature Adobe Acrobat 9 will go out to your server or to Acrobat.com and pull in all the completed forms. If
you have never used this feature it is a very fast and efficient way to collect your information without the need to print out forms on paper. This can quickly change your entire work flow and help your organization move towards moving forms in a paper-less fashion. Now imagine the cost saving and just how good you will feel that you are doing something good for the environment!. I have been a long time user of Adobe Acrobat and use it extensively in the work that I do as a professor and technology consultant. While many of us are used to using Adobe Acrobat Reader- you don't really understand the power and utility of Adobe Acrobat until you start working with with the Standard, Pro or Pro Extended versions. When Adobe announced that they had just released version 9 of Adobe Acrobat, I knew that I had to take a look at it and see what new features it offered. I once again would like to thank Roman from A & R Edelman for providing me with a review copy of Adobe Acrobat Pro Extended. There are currently four different versions in the Adobe 9 product line which include: Reader, Standard, Pro, and Pro Extended. Each version has a different set of features which are delineated on this matrix provided by Adobe. For the purpose of this review I am going to be speaking about Adobe Acrobat Pro Extended version which has the most advanced feature rich set.In this post, I will highlight two very exciting features which I know will change the way we think about PDF's (Portable Document Format) and how we use them. On the top of my list is the introduction of portfolio's and the ability to play Flash assets within a PDF which takes this version to a whole new level. Let me start off by talking about the Portfolio feature which I know will make us all rethink how we create and distribute information that we produce. I'm sure that if you are like me, you often get emails with several PDF attachments. When the email is delivered into your inbox you have no idea which one to open first and once they are opened you then have to save them to a folder and organize them in some way so that they are useful to you. Well all of that has changed with the concept of creating a PDF Portfolio with Adobe Acrobat Pro Extended (Portfolio's can be created with the Standard and Pro editions of Acrobat).
Now imagine that you can now take your existing PDF files, SWF files, Word files, Excel documents, and picture files and create one unitary portfolio which stores all of your documents. When you are ready to share your documents via an email attachment there is only one file to attach. While this is certainly an improvement over the way we used to do it, now imagine that you have the ability to craft the portfolio so that it has the look and feel that you hope to achieve for your communication. Once you begin to create your portfolio you can choose a layout, add a welcome and header, select a color scheme, specify file details, and publish the portfolio. I found it very easy to create the look an feel that I wanted and I was able to add my picture to personalize my portfolio. I choose to use the Revolve layout which gave me a sort of cover flow effect that you might find on your iPod. To add the files to my portfolio- it was as simple as dragging them into the portfolio from my desktop where they were stored. You should note that my PDF Portfolio contains several different types of files, just to show you the power of
this new feature. I included a Word document, a Captivate SWF movies, and several PDF files. Acrobat allowed me to use the nice blue color schemes from a large palette of colors. One of the really impressive features is the ability to present your documents in the order you desire when the recipient receives them. By creating an Order field within Acrobat, I was able to place a number from 1 to 6 into the field and then sort the documents so that they appear in the order that I want. As you create your PDF Portfolio there are lots of features that you can change to insure that it looks and behaves as you wish. Click here to watch how I created a PDF Portfolio in Adobe Acrobat Pro ExtendedWhat really got me excited is the way Adobe Acrobat 9 handles files within the portfolio. You will see if you download my PDF Portfolio that Acrobat will allow you preview your Word and Excel files right within the portfolio. You will also note that I placed a Captivate 3 swf demonstration video within the PDF file that plays right within Adobe Acrobat Reader 9, without the need of
any additional players. This feature alone is huge. Imagine being able to great technical and training guides complete with Flash videos embedded right within the PDF. With Adobe Acrobat 9 Pro Extended you can easily embed Flash video within your Word and PowerPoint presentations. Once you install Adobe Acrobat 9 Extended you will now have a new Acrobat menu embedded within Word, Excel, and PowerPoint. By simply using the Embed Video drop down you can insert Flash and FLV videos right within your documents that are automatically converted to Flash when you publish your PDF's. This is truly an awesome feature and one that will change the way we think about how we use PDF's for training and distributing information. Remember you will need to download Adobe Acrobat Reader 9 to view the Portfolio.As part of Adobe Acrobat Pro Extended you also get the added bonus of Adobe Presenter 7 which is an add-in to PowerPoint. I must say a very powerful add-in to say the least. I have highlighted the use of Adobe Presenter in a previous post- so if you missed it here is the link.
Acrobat.com-Embedding PDF's on Your Blog
Over the past year I have watched the Acrobat.com website flesh out its free offerings which I have to say are quite impressive. I have been a big fan of Adobe Acrobat for years and not only use it for my own work but have also used it as an access tool for some of the students that I work with that have physical disabilities. More about this feature in a later post.While reading the Acrobat Blog I came across a couple of tips and features that I wanted to share with you. First off, if you don't have an Acrobat account sign-up for one- you will find it very handy. If for no other reason, just so you will have another online repository for your files-but it can do a lot more than that. In this tip you can upload or create a PDF file if you don't own Acrobat Standard or Professional right on the Acrobat.com website. Once you have your PDF file uploaded you can click on the Copy Embed Code which will then allow you to post the PDF to your website or blog in a widget. By simply pasting the code into my blog, I am now able to generate a widget that displays my PDF file. You can see the result of this technique below.
Using Acrobat.com gives you the freedom to post and share your PDF files using the embed feature without using a lot of overhead. It is a simple and easy way to share your information in the ubiquitous PDF format. From the widget, individuals can zoom in on the file and download it if they like. Take a look at this feature-with it it is now even easier to share PDF files than ever before on your website or blog.
Three days at NECC....
Three days at NECC. I spent the last three days at NECC, looking at new technologies, new software and new hardware. Educators have lots to be excited about. HP and Asus were showing off their mini laptops which were both small in stature and price. The exhibition hall was filled with companies tauting their interactive whiteboards and the impact it will have on learning in the classroom. Both Smart and Promethian had some of the largest booths on the floor and had many teachers doing live demonstrations. Mimio was also there showing off their latest release of MimioStudio 6 and the release of the Mimio Pad, a hand held portable tablet. Many of the vendors were demonstrating various response systems and there is definitely a move towards a totally digital classroom. The digital classroom would include an interactive whiteboard, data projector, response system, document camera, and a audio sound field system. Of course Web 2.0 and collaboration was another key trend. Software as a service is here to stay and there were many companies who were showing off their software applications that are hosted solutions right through the browser. Crick Software was demonstrating Write Online and FTC Publishing was
demoing WriteIt Live. With Hyperstudio back there seemed to be excitement about multimedia and project based learning. Adobe was showing off their creative tools and showing off Adobe Acrobat 9, which has some very strong multimedia features. It is now possible to embed a Flash video and create a Portfolio of individual PDF's which can be viewed with Adobe Acrobat Reader. Adobe was also demonstrating Adobe Acrobat website which gives you data storage, Buzzword, and Sharing capabilities. Acrobat.com is a wonderful website and one each and every teacher should set up immediately. Acorbat.com holds much promise for collaboration and all of the tools are free.
